Taming the “wild, wild” west of construction administration

Over the past ten years, Patrick Covert, Direction of Information Technology for Moseley Architects, described the construction administration technology landscape as “the wild, wild west”. There were a number of different construction administration solutions on the market, with contractors and owner teams each choosing their own solution. This required the Moseley Architects construction administration team to navigate this complex technology environment. For each project, the Moseley team ramped up on the construction administration solutions chosen by each party. 

Moseley Architects began to notice that there had been some consolidation on the contractor side with Procore’s construction administration software. However, Moseley Architects’ team requires a project information management platform that meets the needs of architectural firms. Moseley utilizes Newforma Project Center, to handle a wide array of project information management functions including email management and advanced search capability. As a result, duplicate data entry between Newforma and Procore remained a way of life. 


Simplifying the Construction Administration Process 

Moseley Architects saw an increase in contractor teams who were using Procore as their primary construction administration system. Moseley Architects utilizes Newforma Project Center as their primary project information management system and wanted to streamline the exchange of submittal and RFI information between the two systems. Moseley Architects also required their own documentation and records of the project, which required duplicate data entry. By implementing the Newforma Project Center Connector for Procore, an extra layer of complication was removed from the construction administration process. The firm’s team could continue to use their native tool, Project Center, for submittal and RFI processing while eliminating duplicate data entry from their construction administration workflow. The flow of submittal and RFI information between Procore and Project Center is now automated, no longer requiring manual data entry.

Decreasing the Learning Curve

In addition to the reducing the amount of time spent on data entry, Moseley Architects also saved time by eliminating the need to train their new staff on the complicated double entry process. Before implementing the Newforma Procore Connector, Moseley’s construction administration team was required to learn how to enter submittal and RFI data in both Procore and Newforma Project Center. As new team members joined projects, the learning curve for staff multiplied. With the new Procore Connector, Moseley team members now only need to enter data in Project Center, eliminating the need to enter data twice. 


Less Time Uploading Files Means More Time to Review Content 

Another added benefit of implementing the Newforma Connector for Procore was that by eliminating manual data entry the staff could focus more time reviewing content. By freeing up time spent uploading and downloading files between systems, the team was able to spend more time reviewing submittal and RFIs. With several hours of manual administration time removed from the review process, response times for the final review were also improved. 


Impact to the Bottom Line

Moseley Architects currently has 28 projects using the Procore Connector processing over 3000 submittals. Using the Newforma ROI Calculator, this equates to a saving of 600 hours and $30,000 for the firm.
